The Administration Manager - Japanese Speaker role oversees a broad range of administrative and operational functions within a small manufacturing business in Lam Luk Ka, Pathum Thani. The position combines general administration, Human Resources (HR), purchasing, interpretation, accounting support, ISO documentation, and office coordination, offering substantial responsibility for supporting efficient daily operations.
Responsibilities
Oversee general administration, HR, purchasing, accounting support, interpretation and translation, ISO documentation, and coordination activities within a small office environment
Provide general administrative support and help maintain efficient day-to-day operations
Oversee the procurement of chemicals, raw materials, and equipment parts used in plating operations
Source suppliers, negotiate prices and terms, issue purchase orders, and maintain accurate procurement records and supplier databases
Maintain employee attendance and leave records
Support HR operations, employee relations, and general workforce administration
Process visa and work permit applications, renewals, and related documentation
Support compliance with Thai labour and immigration regulations
Manage and update ISO-related documents, supporting compliance and timely revisions
Collect and prepare documents for submission to the external accounting firm
Provide on-site Japanese-Thai interpretation and translation support when required
Coordinate with building management, vendors, and service providers regarding office maintenance, security, cleaning, travel arrangements, and Information Technology (IT) and telecommunications services
Manage office supplies, equipment, and facilities
Perform other tasks assigned by management
Requirements
Bachelor’s degree or higher in Japanese or a related field
Japanese language proficiency at JLPT N3 level or above
More than 10 years of experience in HR, General Affairs (GA), office administration, or back-office management
Experience in purchasing and procurement within the manufacturing or chemical industry
Hands-on experience in HR administration, including employee attendance management
Understanding of visa and work permit application and renewal processes in Thailand
Knowledge of ISO standards, document control, and compliance procedures
Ability to manage multiple responsibilities independently within a small office environment
Ability to work effectively with colleagues from different cultural and professional backgrounds
Commitment to supporting the organisation’s ongoing operations
Proficiency in Microsoft Office applications, particularly Excel
Ability to commute to the workplace in Lam Luk Ka, Pathum Thani
